Professional Details: CVs, LinkedIn profiles, role preferences, salary expectations, location preferences, and similar.

Voice Calls & Transcripts: We record and transcribe your calls with Jack or Jill. These may include open-ended conversation data about your experience, goals, or other volunteered information.

User-Generated Files: Any other files or materials you choose to upload.

Cookies & Analytics: We may collect device and usage data (e.g., IP address, cookie IDs) to enhance your experience and improve our service.

3. How We Use Your Data

Recruitment Matching: To identify and suggest relevant job opportunities for users who joined the platform by speaking with Jack, facilitate introductions to employers, and tailor our AI-driven recommendations.

Communication: To reach out about new roles, gather feedback, or communicate on behalf of partner companies. If you've opted in, we may also send you occasional marketing or promotional updates.

AI Processing & Improvement: Calls, transcripts, and conversation data may be used internally for product development, quality checks, and to train or refine our AI systems.

Platform Security & Maintenance: We use your data to help prevent misuse, fraud, or security issues.

Aggregated Data for Marketing: We may compile and use aggregated or anonymized data (e.g., total number of software engineers using Jack this week, general salary expectations by experience level) for marketing, analytics, or promotional purposes. Such aggregated data will not identify you personally.

Compliance: We may process or retain data as needed to comply with legal obligations.

4. Legal Basis for Processing

Consent: We rely on your consent for collecting and processing personal data in connection with introductions and AI-driven matching.

Legitimate Interests: Certain processing (e.g., security, basic analytics, aggregated marketing data) may fall under legitimate interests.

Special Category Data: If you voluntarily share information that might be sensitive (e.g., health or background details) during a conversation with the AI, we collect and process this information based on your explicit consent provided during registration.

5. Data Sharing & Transfers

Automatic Sharing with Employers: For users that signed up through Jack, we by default automatically share your candidate profile, professional details, and contact information with potential employers we reasonably believe align with your professional experience, skills, and interests. You can control or restrict this automatic sharing feature in your account settings.

Opt-Out: If you prefer that your details not be shared automatically, you can change your settings at any time to require explicit consent before we share your profile with employers.

Third-Party Providers: We use third-party AI and hosting services. These providers may be located outside the UK/EEA, and we implement safeguards (e.g., Standard Contractual Clauses) as necessary.

No Selling: We do not sell your personal data to third parties.

6. Retention & Deletion

Retention: We keep your personal data (including voice call recordings and transcripts) for as long as necessary to provide our services, and for up to 48 months after account closure or last activity, unless you request earlier deletion.

Deletion Requests: You may request account or data deletion by emailing legal@jackandjill.ai. We aim to comply with such requests within 30 days. Note that deleting recordings or data may limit our ability to continue providing optimal services.

7. Your Rights

Under the UK GDPR and other applicable laws, you may have the right to:

  • Access: Obtain a copy of your personal data.
  • Rectify: Correct inaccuracies in your data.
  • Delete: Request erasure of your data.
  • Object or Restrict: Limit or object to certain processing activities.

We reserve the right to access and review user recordings and transcripts internally for:

  • Compliance & Abuse Prevention: Monitoring inappropriate activity, ensuring users comply with our Terms of Use, and detecting fraud.
  • Technical Support: Troubleshooting and debugging issues.

Our team members with authorized credentials may review these recordings solely for legitimate business purposes, and we maintain confidentiality obligations internally.

9. Security Measures

We implement appropriate technical and organizational measures to protect your data from unauthorized access, theft, or alteration. However, no system is completely secure, and we cannot guarantee absolute protection.

10. International Users

If you access or use our Platform from outside the UK, you do so at your own initiative and must comply with applicable local laws. By providing your data, you acknowledge that it may be processed in or transferred to the UK and other jurisdictions where our providers operate.
